Xtreme Bass Series, Inc. (“XBS,” “we” or “us”) runs xtremebassseries.com, the Falcon Boats Divisional Series, the CopperState Tackle Limited Team Open and our other tournaments. This policy explains what personal information we collect, how we use it, who we share it with and the choices you have. It covers this website, XBS membership, event registration, the Xtreme Store and our emails and text messages.
1. Information we collect
Information you give us
- Membership. Memberships run through our membership platform, Join It. The member form collects your name, email, phone, mailing and shipping address, birthday, gender, an optional profile photo, and your boat and equipment details and other answers on the form.
- Event registration. Registration forms, hosted by FormSite, collect angler and partner names, contact information, boat information and the entry details each event requires.
- Xtreme Store orders. Your name, billing and shipping address, email, phone and what you ordered. Card payments go directly to our payment processor, Stripe. We never see or store your full card number.
- Email and text sign-ups. Your email address or mobile number and the date you agreed to hear from us.
- Messages to us. What you send through our contact form, by email or by phone.
Information from our tournaments
- Results. Angler and team names, division, weights, big fish, place, points and winnings.
- Photos and video. Taken at weigh-ins and events, as described in the Camera Release in our official tournament rules.
Information collected automatically
- Device and usage data. Your IP address, browser, device type, the pages you view, the site that sent you here and when you visited. This comes from our server logs, Google Analytics, Jetpack Stats and our web host’s security tools.
- Cookies. Small files that keep the store cart working, count visits and help stop fraud. Our Cookie Policy lists them.
- Store order source. When you place an order, the store records how you reached us, such as a search engine, social media or a direct visit.
2. How we use it
- To run membership and confirm eligibility. Anglers competing in the Falcon Boats Divisional Series must hold a current membership.
- To process registrations and entries, keep points and standings, pay winnings and deliver prizes.
- To fill and ship store orders and calculate sales tax and shipping.
- To publish results, standings, news and photos.
- To send schedule changes, event reminders, results and promotions by email or text when you have agreed to receive them.
- To report to our sponsors in totals only, as explained below.
- To keep the site secure and to block fraud and spam.
- To see how the site is used and make it better.
- To keep the records the law requires and to meet our legal obligations.
3. What we publish
Tournament results are public. When you compete in an XBS event, your name, team, weights, place, points and winnings may appear on this site, in news stories, on our social media and in material shared with the press. Photos and video taken at our events are used as set out in the Camera Release in our official rules. Results stay in our results archive as part of the series record.
4. Who we share it with
We do not sell your personal information, and we do not rent or give our member list to anyone for their own marketing. We share information only in these cases:
- Service providers that run parts of our operation for us: Join It (membership), FormSite (registration forms), Stripe (card payments), ShipStation and shipping carriers (store shipping), WooCommerce and Jetpack by Automattic (store tax calculation, site statistics and security), Akismet (spam filtering), Google Analytics (site statistics), Constant Contact (email and text messages), GoDaddy (web hosting and firewall) and MalCare (site security). They may use the information only to provide their service to us.
- Tournament directors. Division directors receive the roster and contact information for the anglers in their division so they can run events.
- Sponsors. We give sponsors totals, such as the share of boats by brand or the number of teams at an event. Winners’ names are public and may be shared with the sponsor of a prize. We typically do not share winners’ contact information with sponsors. When a sponsor delivers a prize directly, we share only what that delivery requires.
- Host communities and tourism partners. Event totals, such as team counts. Some reports may also include anglers’ names and event photos, the same information we publish with results. They do not include contact details.
- Legal reasons. When the law requires it, or to protect the rights and safety of XBS, our anglers or the public.
- Business changes. If XBS or its events are sold or transferred, the information would move with them under this policy.
5. Your choices
- Email. Use the unsubscribe link at the bottom of any email.
- Text messages. Reply STOP to any message to stop. Reply HELP for help. See our Text Message Terms.
- Membership details. Log in to the Join It member portal to review and update your information.
- Cookies. Set your browser to block or delete cookies. To stop Google Analytics on every site, use Google’s opt-out browser add-on.
- Access, correction and deletion. Email [email protected] to ask what we hold about you, to correct it or to delete it. We may keep what the law requires us to keep, and published results remain part of the series record.
- Do Not Track. Some browsers send a “Do Not Track” signal. The site does not currently respond to it.
6. Young anglers
This site is not directed to children under 13, and we do not knowingly collect personal information online from a child under 13 without a parent’s consent. Young anglers fish some XBS events, and a parent or guardian provides their information when registering them. A parent or guardian can contact us at any time about a child’s information, photos or results.
7. How we protect it
The site runs over an encrypted connection. Payments are handled by Stripe and our other processors, not stored by XBS. Access to member and registration records is limited to the people who need them to run the series. No system is perfectly secure, so we cannot promise information will never be lost or misused.
8. How long we keep it
We keep information for as long as we need it for the reasons in this policy: membership records while you are a member and for a reasonable time after, financial and tax records for as long as the law requires, and tournament results as a permanent record of the series.
9. Other websites
This site links to sponsors, lodging, Join It, FormSite and other sites. Their own privacy policies apply once you leave xtremebassseries.com. Pages that show YouTube videos, Instagram posts or Google Maps load content from those companies, who may collect information under their own policies.
10. Where your information is processed
XBS is based in Florida. Our events and store serve anglers in the United States, and your information is stored and processed in the United States.
11. Changes to this policy
We will post any changes on this page and update the date at the top.
